In this dual-purpose role, you will be the driving force behind maintaining accurate pupil attendance records while providing exceptional front-of-house and administrative support to our vibrant school community.
As the primary point of contact for attendance-related matters, you will work closely with families, pastoral teams, and the Designated Safeguarding Lead (DSL) to track, analyse, and report on attendance trends, ensuring that pupil welfare remains at the heart of everything you do.
Key Responsibilities:
- Attendance Management: Act as the first point of contact for daily absence reporting, update the school Management Information System (MIS) accurately, and execute first-day calling procedures for unexplained absences.
- Data & Compliance: Monitor daily attendance and punctuality trends, generate weekly reports for the Senior Leadership Team (SLT), and flag persistent absence patterns.
- Family Liaison: Engage positively with parents and carers to address barriers to regular attendance, sending formal letters or scheduling meetings when intervention is required.
- Office Administration: Provide a welcoming, professional front-of-house service to parents, visitors, and pupils. Handle incoming telephone calls, manage school emails, and process general administrative requests.
- Admissions Administration: Manage the school’s end-to-end student admissions and transition process for both routine intakes and in-year transfers. This includes coordinating parent tours, processing application paperwork, liaising with the Local Authority, and maintaining the school's Official Admission Register (the school roll).
- Safeguarding Support: Ensure all attendance anomalies, missing children (CME) triggers, or transition flags are raised promptly with the Designated Safeguarding Lead (DSL) in full compliance with school policies.
The Ideal Candidate Will Have:
- Previous administrative experience in a school office setting.
- Proficiency using (SIMS, Insights, Microsoft Office 365).
- Excellent communication and interpersonal skills, with the ability to maintain a calm, professional manner when dealing with challenging situations.
